A holiday home needs a practical routine during the months you are elsewhere. The most useful arrangement answers simple questions: who can enter, what they check, when they contact you and how spending is approved. Build those answers into your ownership plan before the apartment becomes an address you manage through scattered messages.

Describe what happens between your visits

Start with the expected pattern of use: how often you visit, whether anyone else stays and the longest likely absence. Note installed appliances, outdoor areas, valuable belongings and anything needing a scheduled service. Use this brief to request a suitable care proposal rather than accepting a vague promise to “look after everything.”

When exploring Hurghada property projects, ask about building access, contractor admission and the division between shared-area maintenance and work inside your home. A reception desk or security team does not automatically provide apartment inspections, cleaning or repair supervision.

List the tasks you want, the tasks you will handle yourself and those requiring a specialist. Ask a proposed provider what happens during staff leave and outside its normal contact hours. A backup contact should be part of the arrangement, not something invented during your first urgent call.

02 · CONTROL ACCESS

Make every key and permission accountable

Create a key inventory showing which person or company holds each set, what it opens and when it was issued. Agree secure storage, restrictions on copying and a return process when the arrangement ends. Keep detailed access information in a restricted record rather than a broadly shared owner chat.

State who may authorise a contractor to enter, whether that visit needs supervision and how departure is recorded. If friends or relatives will use the home, provide their dates and access permission separately. Do not assume an informal acquaintance is authorised to collect keys because they know your name.

Specify what a routine visit must deliver

Agree the frequency with your provider in light of the property, equipment instructions and any insurance conditions. There is no single visit interval that suits every apartment. Also define what should trigger an additional visit, such as a reported building incident or a concern raised by a neighbour.

Ask for exceptions to be visible. “Visit completed” is inadequate if one room was locked, an appliance could not be checked or a new mark appeared on the ceiling.

Give repair decisions clear limits

Separate routine agreed tasks from new repair work. Set a written spending limit, explain whether it applies per incident or over a period, and specify the approval method. Ask whether attendance, materials, transport and any administration charge appear separately on quotations and invoices.

Agree an escalation procedure for urgent situations: who contacts you, the backup contact, and what immediate action the provider is authorised to arrange if neither responds. Qualified tradespeople should handle technical work. The care agreement should explain its practical limits instead of leaving the provider to make unlimited decisions in your name.

05 · PREVENT MISSED HANDOVERS

Keep one calendar for services, bills and absences

Create a shared task calendar with appropriate access rather than relying on memory. Include service appointments, account renewals, expected absences and your next arrival. Record who is responsible for each item and how completion will be confirmed.

Agree departure arrangements with the provider and relevant specialists. Appliance, plumbing and cooling instructions depend on the installed systems, so have appropriate people prepare a property-specific checklist. Avoid assuming that every device should be left operating or that everything should simply be switched off.

Keep a modest approved repair reserve if that suits your arrangement, with a clear statement and reconciliation process. Ask how unused funds are handled when the service ends. Separate the reserve from recurring fees and distinguish an estimate from a completed invoice. That makes it easier to see what was actually spent while you were away.

06 · MAKE THE NEXT VISIT EASY

Prepare arrivals and review the arrangement

Tell the provider your confirmed arrival date and request an agreed readiness check with enough time to address problems. Specify cleaning, linen or other preparation separately. Ask for a short report of anything that may affect the stay, including unresolved repairs and planned building work communicated to the provider.

After your visit, compare your observations with the reports. Discuss recurring problems, unclear photographs or gaps in communication. If you change providers, close outstanding invoices, recover keys, revoke digital access and transfer the property file through an agreed process.
